Capacity recovery in Pro

WordPress Waitlists and Booking Automation

Fill cancelled places through timed, capacity-safe waitlist offers and automate booking, pass, and membership notifications with durable retry protection.

What this resolves

A clearer way to manage this work in WordPress.

  • Per-event and per-service waitlists with duplicate prevention
  • Capacity-safe timed offers and manual promotion
  • Booking, cancellation, rescheduling, pass, and membership alerts
  • Idempotent WP-Cron retries and an append-only activity log

One capacity model

An offer holds a real Free booking spot.

Waitlist promotion does not invent a second inventory. It creates a pending booking through the same event inventory or appointment allocation transaction, so simultaneous promotions and public bookings cannot overbook.

Reliable background work

Late cron and retries do not duplicate messages.

Every job has an idempotency key, processing lock, retry count, and next-attempt time. Stale workers recover, expired offers are evaluated against the actual deadline, and sent notifications are recorded once.

Entitlement-safe

Passes and memberships are checked at acceptance.

The offer reserves capacity without spending credit. Acceptance revalidates the selected pass or membership and commits entitlement usage with confirmation; an invalid or expired entitlement releases the hold and safely advances the queue.

WordPress manual

How to configure wordpress waitlists and booking automation.

  1. 1

    Enable a waitlist

Edit an event or service, enable its Pro waitlist, and choose how many minutes a customer has to accept an offered place.

  2. 2

    Collect demand

When an event is full, customers can join its queue. Service customers can join for a preferred date when no suitable appointment time remains.

  3. 3

    Promote safely

A cancellation schedules the oldest matching customer. Pro creates a normal pending Free booking as a capacity hold, emails a unique acceptance link, and advances the queue if the deadline passes.

  4. 4

    Configure automation

Open Events → Waitlists & automation to choose reminder lead times, edit notification subjects and messages, promote entries manually, and inspect delivery and retry activity.
