Prepare the public details

An activity needs an accurate title, schedule, and publication status before it can appear publicly. Add enough context for a visitor to understand what happens, where it happens, and who leads it.

  1. Open Events & Bookings > Events & Calendar > Add New, or select an existing activity under All Events.
  2. Enter a concise title that distinguishes this activity from similar dates.
  3. Choose its Activity type.
  4. Enter the public Description in the activity editor.
  5. Assign one or more Categories when they help visitors filter the calendar.
  6. Optionally set a Featured Image through the standard WordPress editor panel.

The Description accepts formatted WordPress content but its compact editor does not include a media button. Use the Featured Image for the activity's primary image.

Set the start and end

  1. Under Starts, choose the date.
  2. Enter the local start time.
  3. Select a Duration from the configured choices.
  4. Leave Set a specific end date and time off when the selected duration is correct. The plugin calculates the end from the start and duration.
  5. Enable Set a specific end date and time when the activity crosses midnight or has an unusual length.
  6. When enabled, enter both the end date and end time.

Free starts with duration choices of 30, 45, 60, 90, and 120 minutes. An Administrator can open Events & Bookings > Settings to add choices from 5 minutes through 24 hours. The plugin sorts the saved choices automatically.

Check the WordPress timezone

Activity dates and times use the WordPress site timezone. Before publishing:

  1. Open WordPress Settings > General in another tab.
  2. Review Timezone.
  3. Select the city or UTC offset that represents the website's operating location.
  4. Save the WordPress setting if it was wrong.
  5. Return to the activity and verify its displayed start and end.

For example, a class entered as 09:00 uses the site's configured timezone. It is not interpreted from each editor's computer timezone.

Add venue and people

  1. Select a published profile under Saved location, or enter a One-off location for a venue that will not be reused.
  2. If a saved location is selected, it takes precedence over the one-off label on public output.
  3. Select every applicable profile under Teachers. More than one teacher or host can be connected.
  4. Create and publish missing profiles first so they appear in the activity editor.

Save, preview, and publish

  1. Select Save Draft while content or timing still needs review.
  2. Use the standard WordPress Preview action to inspect the activity before publication.
  3. Select Publish when the activity is ready.
  4. For an already published activity, select Update after editing it.
  5. Open the public activity and a calendar page to verify the title, date, time, location, people, description, and image.

Publishing controls public visibility. A draft remains available to authorized editors but is excluded from the plugin's public activity queries.

Pro-only activity details

With active Pro access, the same editor also offers:

  • All-day event, which displays the date without start and end times.
  • Featured event, which gives the activity priority in public listings.
  • Online event URL for a meeting, stream, or webinar link.
  • Recurring scheduling and its exceptions.
  • Configured custom fields.

These values stay attached to the shared activity record if Pro is deactivated. Free remains available for one-time activities but does not expose controls for changing those Pro-only values.

Troubleshoot dates and publishing

The displayed time is offset

Review WordPress Settings > General > Timezone. Correct the site timezone, then reopen the activity and verify its stored local time before updating it.

The duration you need is absent

Ask an Administrator to add it under Events & Bookings > Settings. Values must be between 5 and 1,440 minutes.

A saved location or teacher is absent

Open Locations or Teachers and publish the relevant profile. Only published profiles are offered in the activity selector.

The activity is not public

Confirm that its WordPress status is Published, its start date is inside the block or shortcode date range, and the page's filters do not exclude its type, category, location, or teacher.
